What we collect, why we hold it, who it reaches, and what you can ask us to do about it. Short, because we collect very little.

The short version

In one paragraph

We collect what we need to answer your enquiry and fulfil your order, and nothing beyond it. We do not sell your data, we do not share it for advertising, and we do not send marketing you did not ask for. Some records we are legally required to keep for a period even if you ask us to delete them — dealers in precious stones have record-keeping obligations, and those are explained below rather than hidden in a clause.

What we hold

The information we actually collect

WhatWhy we have itWhere it comes from
Your name and contact detailsTo answer your enquiry and reach you about a stone or an order. You give it to us, by phone or in correspondence.
What you asked aboutSo the next conversation does not start from nothing, and so we can tell you what we quoted and when. Our own notes from talking to you.
Order and delivery details — billing name, shipping address, what was bought, what it costTo fulfil the order, ship it, insure it, declare it at customs, and keep the tax and transaction records we are required to keep. You, at the point of purchase. Held in this site’s WooCommerce store.
Identification for trade accountsVerification of business identity, and beneficial ownership where relevant, before goods move. Required of dealers in precious stones — see trade parcels. You, when opening a trade account.
Ordinary server logs — IP address, browser, pages requestedGenerated automatically by the web server. Used for security and to keep the site working.Your browser, like any website.
Payment data

We do not hold your card details. Card and payment data goes directly to the payment processor at checkout and does not reach us — we see that a payment succeeded, not the numbers behind it.

Who it reaches

The only third parties involved

  • Our hosting provider, which operates the servers this site runs on and therefore stores its data.
  • The payment processor at checkout, which handles the transaction and holds the card data we never see.
  • Shipping carriers and insurers, who need the delivery address and declared value to carry and cover the parcel.
  • Customs and tax authorities, which receive the declaration required by law in the countries a shipment crosses.
  • A gemological laboratory, only if you ask us to submit a stone on your behalf — and only the details that submission requires.
Nothing else

That is the complete list. There is no advertising network, no data broker and no list rental in it, and if we ever add an analytics or email tool we will name it here rather than leave this page saying something that is no longer true.

Cookies

What this site puts on your device

Functional cookies only, set by WordPress and WooCommerce so that a shopping cart and a login session work at all. Nothing on this site tracks you across other websites, and we do not run advertising pixels.

You can block or clear cookies in your browser at any time. Doing so may stop the cart from remembering what is in it, which is the only thing you will notice.

How long

Retention, and the part we cannot waive

RecordHow long we keep it
An enquiry that did not become an orderUntil it is no longer useful to either of us. Ask and we will delete it.
Order, invoice and shipping recordsFor the period required by tax and customs law, which is measured in years, not months.
Transaction and counterparty records for precious-stone dealingFor the period required under applicable anti-money-laundering and reporting rules. This is the one category we cannot delete on request — the obligation is legal, not commercial, and we would be breaking the law to oblige.
Server logsA short rolling period, then overwritten.

Your choices

What you can ask us to do

  • Ask what we hold about you, and we will tell you.
  • Correct it if it is wrong.
  • Ask us to delete it — and we will, except for the records above that we are legally required to retain. We will tell you plainly which is which rather than refusing in general terms.
  • Ask for a copy of what you gave us.
  • Tell us to stop contacting you. Immediate, no reason needed.

Depending on where you live you may have further rights under your own data protection law — for example under the GDPR in the UK and EU, or state privacy laws in the US. Those apply in addition to this policy. Ask and we will deal with the request rather than send you a form.

How to reach us

To make any of these requests, or to ask anything about this policy, call 888-296-4870, Monday to Friday, 9am–6pm Central — or raise it through contact. A person will deal with it.

This site is not directed at children and we do not knowingly collect information from them. If this policy changes we will update the date at the top of the page and, where a change is material, say what changed rather than quietly reissue it.
